Privacy Policy

How Rubidy collects, uses, and protects your personal data when you use our AI-assisted educational platform.

Last updated

1. Who we are

Rubidy is an AI-assisted educational platform for learners and teachers, operated by the Rubidy Team (“we”, “us”). The service includes document upload, grounded tutoring (RAG), study materials (summaries, flashcards, quizzes), classes, and assignments.

This Privacy Policy explains how we handle personal data when you visit rubidy.com, use the Rubidy app, or contact us. Privacy and support inquiries: contact@rubidy.com (subject “Privacy”).

2. Data we collect

Account & profile

  • Email address, display name, role (learner / teacher), language preference
  • Authentication data (e.g. session tokens); passwords are hashed and never stored in plain text
  • Plan and billing status when you subscribe (processed via our payment provider)

Pedagogical content you provide

  • Uploaded PDFs and files you choose to index for tutoring and generation
  • Chats with the AI tutor, generated summaries, flashcards, quizzes, and assignments
  • Class membership, submissions, and grades when you use classroom features

Usage & technical data

  • Device/browser type, approximate location (from IP), timestamps, and technical / error logs
  • Product analytics needed to improve reliability and performance (aggregated where possible)

Support communications

  • Messages you send via the contact form or email to contact@rubidy.com, and our replies

3. How we use your data

We use personal data to:

  • Deliver and operate the Rubidy service (accounts, classes, AI features, billing)
  • Secure the platform, prevent abuse, and troubleshoot issues
  • Communicate about your account, security, product changes, and support
  • Improve product quality using aggregated or de-identified insights where feasible
  • Comply with legal obligations

We do not sell your personal data. Marketing emails (if any) are opt-in and you can unsubscribe at any time.

4. AI processing & your documents

Rubidy uses AI models to answer questions and generate learning materials. When you select documents or class materials, the system prioritizes those sources (RAG) so answers stay grounded in your content.

  • Uploaded private documents (PDFs) and class contents used for RAG are processed strictly to deliver the features you request (tutoring, generation, assignments, gap analysis).
  • Your private documents are never used to train public AI models for other clients or the general public.
  • Providers that process data on our behalf are bound by contracts and only process data as needed to run Rubidy.

5. Sharing with third parties

We may share data with:

  • Infrastructure & AI processors that host storage, compute, or model inference under our instructions
  • Payment processor (Stripe) for subscriptions and invoices — they process payment details under their own policies
  • Authorities when required by law or to protect rights and safety

Within a class, teachers and co-members may see content you share in that workspace (assignments, announcements, shared files), according to role permissions. We do not make your private library visible outside the contexts you choose.

6. Retention & security

We retain account and content data while your account is active. After a verified deletion request, we aim to delete or anonymize associated personal data within 30 days, except where law or tax rules require longer retention (e.g. billing records).

We apply technical and organizational measures appropriate to the risk: encryption in transit, access controls, and monitoring. No online service is 100% risk-free; report concerns to contact@rubidy.com.

7. Your rights (GDPR)

Depending on your location (including GDPR / UK GDPR where applicable), you may have the right to access, rectify, delete, restrict, or port your personal data, and to object to certain processing. You may also lodge a complaint with a supervisory authority.

To exercise these rights, email contact@rubidy.com. We may need to verify your identity before responding.

8. Contact & updates

Rubidy is operated by the Rubidy Team. Privacy and support: contact@rubidy.com — or use our Contact page.

We may update this Policy as Rubidy evolves. Material changes will be reflected by the “Last updated” date (2026-04-16) and, when appropriate, an in-product or email notice.
